What data we collect, and why

Enquiry and contact forms

When you submit an enquiry through a form on this website, we collect the information you enter. Depending on the form, this may include your name, email address, telephone number, the service or product you are interested in, and the content of your message.

We use this information solely to respond to your enquiry and, where relevant, to carry out the business discussion that follows. We do not use it for marketing unless you separately ask us to.

Form submissions are delivered to us by email and are also stored in our website’s database, so that we do not lose enquiries if an email fails to arrive.

Server logs

Like most websites, our hosting provider automatically records technical information about visits, including IP addresses, browser type, the pages requested, and the date and time of each request. This is used to operate the site, diagnose faults, and detect abuse or attacks.

Cookies

Our website uses cookies. A cookie is a small file stored on your device.

  • Essential cookies are needed for the site to function, including recording your cookie consent choice and maintaining form security.
  • Non-essential cookies are only set after you consent through the cookie banner.

We do not sell products through this website, do not process payments online, and do not require or allow visitors to create user accounts. We do not knowingly collect data from children.

Our legal basis for processing

Where the law of Ghana applies, we process personal data on the basis of your consent and of our legitimate business interests in responding to enquiries and operating our website securely.

Where the EU or UK General Data Protection Regulation applies — for example if you contact us from within the EU or UK — our legal bases are:

  • Consent, for non-essential cookies.
  • Legitimate interests, for responding to your enquiry, maintaining site security, and keeping business records.
  • Legal obligation, where we are required to retain records for regulatory, tax, or anti-money-laundering purposes.

Who we share your data with

We do not sell your personal data, and we do not share it for advertising.

We share data with the following service providers, only to the extent needed to run our business:

  • One.com (Denmark), our website hosting provider, which stores our website and database and generates server logs. Data is held on servers within the European Union.
  • Automattic Inc. (United States), which operates the Akismet spam filtering service. When you submit a form, the submission content and your IP address are transmitted to Akismet to determine whether the submission is automated spam.
  • Our email delivery provider, which transmits enquiry emails to our staff.
  • Professional advisers and regulators, where we are required to disclose information by law, or where disclosure is necessary to establish or defend a legal claim.

International transfers

Our website and database are hosted within the European Union. Enquiry data is accessed by our staff in Ghana in the course of responding to you, and spam-filtering data is transmitted to the United States as described above.

Where personal data is transferred outside the country in which it was collected, we rely on the service provider’s contractual data protection commitments, including standard contractual clauses where applicable.

How long we keep your data

  • Enquiries that do not lead to a business relationship: retained for up to 24 months, then deleted.
  • Enquiries that lead to a business relationship: retained for as long as the relationship continues, and afterwards for the period we are required to keep records under Ghanaian law, including anti-money-laundering and tax requirements.
  • Server logs: retained according to our hosting provider’s standard retention period.
  • Cookie consent records: up to 12 months.

Security

We take reasonable technical and organisational measures to protect personal data, including transport encryption (HTTPS), restricted administrative access, and keeping our website software updated.

No website can be guaranteed completely secure. If a security incident occurs that affects your personal data and creates a risk to you, we will notify you and the relevant supervisory authority where we are required to do so.

Your rights

Subject to the applicable law, you have the right to:

  • Access the personal data we hold about you.
  • Correct data that is inaccurate or incomplete.
  • Request deletion of your data, where we have no continuing legal reason to keep it.
  • Object to or restrict our processing of your data.
  • Withdraw consent where processing is based on consent.
  • Receive a copy of data you provided to us, in a portable format.

To exercise any of these rights, email info@credencegoldltd.com. We will respond within the period required by law, and we may need to verify your identity first.

If you are not satisfied with our response, you may complain to the Data Protection Commission of Ghana. If you are in the EU or UK, you may instead complain to the supervisory authority in your country.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last revised. Material changes will be highlighted on this page.
